Leagues may have multiple Intake classes throughout the League year. The most common are Fall and Spring. This article explains how to create local statuses, create dues and configure entry points for each class.


Fall is the full League Year starting on June 1-December 31

Spring is after January 1 and ends on May 31


Create Local Statuses

Local statuses make it easier to distinguish between different Intake classes, such as Fall and Spring. To create a new status, see Create Local Statuses.

  1. Go to Status Management.
  2. Create the appropriate local statuses for the initial, final, and pending statuses, if applicable.

Collect Dues

Use Dues Management to collect dues by creating dues definitions. The Pay Dues step in the workflow will direct the Prospect to the dues defined for the year you are collecting dues. Take note, you cannot collect dues for multiple League years. For example, if your League has enabled dues for 2026-2027, you cannot collect dues for 2027-2028. 


It's generally not recommended to collect dues for the current year for New Members starting in the the second half of the year. However, the Simple Store can be used if that is necessary.


A) Dues Management

  1. In Dues Management > Dues Definition Listing, and create a Dues Definition for each Intake class. See Creating a Dues Definition. For example:
    • Member Dues - Provisional Fall - Single Payment  (Full Dues)
    • Member Dues - Provisional Spring - Single Payment  (Half Dues)

  2. Complete the Membership Dues Requirement for each status. The amount should include the base dues amount plus the total of all required add-ons for the status. See Membership Dues Requirements
    • For example, if Fall dues are $150 (noted in the Dues Definition) and the Application Fee is created as an required add-on for $50, the total Amount Due would be $200.
    • If there are no required add-ons, you can enter $150.
    • You can include the $43 AJLI dues in the Total Amount, or create it as a separate required add-on. The advantage of creating it as a required add-on is that it can be assigned its own accounting code. 
  3. For each Dues Definition, assign the appropriate local status that was recently created for the Status assigned on entry. In Dues Collection, go to Dues Status Listing. See Assigning Dues Definitions to a Status. Here are two examples:
    Dues Name

Create Workflow

If your League does not have an Intake workflow created, please send an email to MemberEssentials@ajli.org to request one. You can use a single workflow if the same steps are defined. Here is an example for Fall/Spring:

  1. Create Profile
  2. Complete Application
  3. Attend Information Session
  4. Pay Dues 


Create Entry Points 

After the workflow is created, create two entry points-- one for Fall and one for Spring. For the statuses, set the following:

Publishing the Entry Point for the Class

Go to the Entry Point Manager and locate the entry point. Select Copy Link to copy the Entry Point URL. You can send the link directly to Prospects or publish it on your Join Us page. See Publishing the Application Form in WordPress


Inactivate Prospects in Intake Manager

After the class is complete, you can inactivate any remaining Prospects for that class in Intake Manager. See How to Inactivate or Delete Statuses for Prospects. If they decide to rejoin in the future, you can link them to a new entry point. See Updating a Prospect's Entry Point


Archive the Entry Point

To ensure the entry points are not being used, you can archive it. Go to the Entry Point Manager and locate the entry point. Select Archive to make the Entry Point unavailable. Remove all the links related to this entry point.
